Job Title:     Administrative Assistant – Information Specialist

Division:      St. Cloud Area Convention and Visitors Bureau                                          

Job Summary: The administrative assistant is responsible for monitoring daily office activity, managing visitor inquiries and providing administrative support to the Convention and Visitors Bureau.

Job Duties- Position requirements include but are not limited to the following:

  1. Greets and assists all walk in visitors in a prompt, courteous and professional manner.
  2. Maintains an ongoing knowledge of area events, attractions, restaurants, facilities, and other area amenities normally requested by customers.
  3. Provides administrative support for the organizations Executive Director.
  4. Handles administrative responsibilities for the CVB Advisory Board to include meeting locations, meeting notices, lunch coordination, attend monthly meetings, minute taking, etc.
  5. Manages phone system, to include maintenance, greetings and checking extensions.
  6. Responds to phone, mail and email inquiries. Enters appropriate data into iDSS.
  7. Manages fulfillment of visitor requests in a timely manner.
  8. Opens, sorts, and distributes mail to appropriate staff members.
  9. Performs administrative duties such as typing, faxing, emailing, coping, etc. as needed.
  10. Inventories and orders office and lunch room supplies.
  11. Helps to maintain office equipment and orders required supplies for items such as; mail machine, copier, printer, fax machine, etc.
  12. Maintains and updates the website.
  13. Manages retail space and online retail sales.
  14. Group Tour itinerary planning and execution.
  15. Graphic design skills are preferred.
  16. Maintains a professional and supportive working relationship with clients and constituents and promotes good will towards the CVB among stakeholders and the community at large.
